Submissions must be received by 11:59 pm EDT ON November 1st, 2017

An abstract and an abstract summary must be submitted via the on-line abstract submission form. Abstracts are peer-reviewed and should not contain identifying information (see below). Abstracts are used to set the conference program. Abstract summaries are published in the Online Conference Program & the Conference On-site guide.

Abstracts must include a title and should present a clear and accurate overview of the topic. Abstracts must be typed in one, single-spaced paragraph only. Abstracts are limited to the maximum length of 250 words. The title of the abstract is limited to 10 words.

The following five (5) headings must be used:

1. Introduction OR Rationale
2. Objectives
3. Methods OR Approach
4. Results OR Practice Implications
5. Conclusions.

If you do not use the five headings, your abstract cannot be considered.

The abstract summary is used to describe your presentation to conference delegates. It is published in the Conference Program and is limited to 50 words. The abstract summary may be edited by CAOT .

For research papers, results can include projected or preliminary results, if the data is not yet compiled. For extended sessions, the approach to the facilitation of the interactive component of the session must be included.

Tips for preparing abstracts

Anonymity
Abstracts should not provide information that would enable someone to directly or indirectly identify authorship through the naming of an individual (i.e., therapist or service recipient), program, service, health-care provider or geographic region. Reviewers and the Conference Scientific Program Committee members must not be able to identify authorship and therefore, abstracts received with identifying information will be returned to the author and may result in disqualification of the submission.

References
If references are included in the abstract, a reference list must be provided in the Reference List field. References must be used sparingly (e.g. when discussing a specific approach or model) and must use the APA style. Citations included in the body of the abstract will be included in the 250 word limit. The reference list will not be counted in the 250 word limit.

Types of sessions

A topic may only be submitted in one category of presentation. Please choose the category that best fits your topic.

Paper Presentation
Paper presentations are sessions in which scientific, theoretical, professional issues and practice information is exchanged. A paper is allotted 20 minutes for presentation and 5 minutes for questions. The total length of the session is 25 minutes. It is recommended that only one person present.

Poster Defence
A poster defence is a visual display session. Topics may include scientific, theoretical, professional issues or practice information. The presenter will be expected to prepare a brief overview of his or her poster presentation and be available for questions and discussion for 25 minutes. A bulletin display board, 2.44 m wide by 1.22 m high (8 feet wide by 4 feet tall), is provided.

Extended Discussion
Extended discussions consist of two parts:

a presentation by one or more speakers for part of the session (approximately 20 minutes)
a group discussion or learning experience on the topic, facilitated by the presenter(s)
The total length of the session is 55 minutes. Abstracts must include a description of how the session will be facilitated.

Alternative option - symposium
A symposium is a session that groups abstract submissions based on similar content into one presentation. Each symposium would consist of three individual presentations followed by 10 minutes for questions and answers in a panel format. This option is offered to abstracts that are accepted and fit within matching areas of practice. There are only a few symposiums offered during conference and you do not have to accept this format if you prefer to do your chosen format.

Student submissions

Only current students of entry-level occupational therapy programs are eligible to make student submissions. Individuals can submit in the student category if they are graduating in the year of submission or later. For example, individuals who are graduating from an entry-level program in 2017 can submit by the November 1, 2017 deadline for the 2018 conference. Qualifying students are invited to present in the paper or poster categories only. Please check the box on the abstract submission form to indicate that your submission is a student submission. All other guidelines for submission apply. Please ensure that you have selected either the paper or poster category only. A student submission does not automatically qualify you for student registration. Registration fees are applied based on your current membership type.

CAOT Student Bursary for Conference 2018
This bursary opportunity is available to each Canadian university. Funds will be collected with registrations, from previous conference delegates who opted to support the bursary. Funding will also come from 2018 conference exhibitors. All entry-level students will be eligible for this award if their university has five students whose abstract has been submitted and accepted, and who plan to present it at conference. The winner of this bursary is the student with the top ranking abstract from each eligible university program. They will receive a share of this bursary up to a maximum of $500 (depending on donations collected) plus a complimentary registration. This applies to only the primary author and they must be an entry-level student at time of submission. If there is more than one primary student author, the bursary and registration can be shared.

Additional information

Audio visual 

All session rooms will be equipped with an LCD projector, laptop, screen, and podium. Poster defences do not require audio visual equipment. Optional audio visual equipment such as Internet, speakers, cordless microphone or laser pointer may be available upon request and will be provided at the speaker's expense.

Handouts
It is recommended that handouts with pertinent contact information regarding a presentation be available. Presenters must have these prepared and duplicated at their own expense.

Conference registration
Individuals who accept the offer to present are responsible for their registration fees, if they chose to attend the conference, all travel, accommodation and related expenses.

Communication
All communication concerning this submission will be sent to the Primary Contact at the e-mail and mailing address indicated on the Abstract Submission Form.

Abstract evaluation

The Conference Scientific Program Committee (CSPC) is mandated to produce a conference program that is balanced for topics of interest and areas of practice relevant to the profession of occupational therapy.

Each abstract is evaluated via a peer-review process by three occupational therapists from across the country. Abstracts receiving conflicting reviews are subject to further review. Authors’ identities remain unknown to the reviewers and to the CSPC.

The CSPC will receive the peer-reviewed abstracts and set the conference program, taking into account the mandate to produce a balanced program. The decision of the CSPC will be final.

Written notification of the acceptance or non-acceptance of presentation proposals will be e-mailed in mid-December.

Abstracts will be judged on the following criteria:

Quality of the Presentation Content
There is substantial information that is appropriate to the content. The abstract is formatted using the five headings.

For research, results can include projected or preliminary data, if data not yet compiled. For extended sessions, method of facilitating the interactive component of the session is clearly described.

Educational Value
Interest and appeal to an occupational therapy audience (e.g., needs to be heard, occupation-based content, describes historical perspective).

Important contribution to practice, research, theory or knowledge.

Novel or innovative contribution (e.g., current trends or new ideas, relevant to the theme of the conference).

Quality of Written Abstract
Self-contained (i.e., should not include abbreviations, acronyms, quotes or extensive reference citations) and concise/specific (i.e., each sentence is maximally informative, especially the lead sentence).

Coherent and readable (i.e., written in a logical sequence, use of clear vigorous prose, use of the active not passive voice, avoids use of personal pronouns).
